Problems that threatened to cripple efficiency at Ashraf & Co are identifying, managing and controlling customer files in a warehouse of a leading bank in Kuwait.
Document Tracking System was implemented in the banking warehouse. Phase 1 of the project consisted of customer files in the credit cards/loans section of the bank. Our DTS software was installed on the banking server supporting the SQL database. This is a testament to the security credibility of our solution as the software was tested by the bank IT security team to ensure that it meets the regulations and standards of the bank. The basic information like customer id, civil id, name, date of creation and banking department was entered into the system. A unique barcode was created using the system, upon scanning the barcode using the portable data terminal, a shelf and rack was assigned for the file and the file was kept at that assigned space. A total of about 150,000 existing files were arranged through the DTS.
The warehouse management team found it easier to locate files. Earlier, they used to manually scavenge through the big pile of files. They could locate the file by identifying its shelf and rack number by entering either the customer id or civil id in the software. Various reports were also available indicating the yearly/monthly/weekly file ins and outs, list of permanently disposed files etc. were available to the management and the warehouse supervisors.
