Technowave helped the new luxury hotel in Oman create an accurate digital register for more than 15,000 fixed assets and introduced a dedicated RFID process to monitor linen moving between the hotel store and an external laundry.
Hotel Indigo Jabal Akhdar is a luxury hospitality property in the mountain region of Oman. Before opening, the hotel required a complete fixed asset register covering furniture, fixtures, equipment and operating items across the property.
At the same time, the hotel wanted a reliable method to monitor large volumes of towels, bedsheets and pillow covers moving through repeated laundry cycles. Technowave implemented EasyTrack as a combined RFID and barcode platform, with separate workflows for fixed assets and linen.
The project covered software deployment, asset discovery, RFID tagging, data registration, fixed and handheld RFID equipment, linen transaction screens, testing and user training. The objective was to provide an operational system before the hotel opened, while allowing room for future asset growth.
As a new hotel preparing for opening, Hotel Indigo Jabal Akhdar needed to establish reliable control over both its fixed assets and its high-volume linen inventory. The two categories required different tracking methods but had to be managed through one dependable platform.
More than 15,000 items, including furniture, fixtures, equipment and operating supplies, had to be physically identified, verified, photographed and registered. Managing this volume through spreadsheets would have created gaps, duplicate records and difficulty during future audits. The hotel needed one master record that could be searched and updated as assets moved through their lifecycle.
Towels, bedsheets and pillow covers move continuously between the hotel store and an external laundry. Without a transaction record showing exactly what was sent and returned, missing linen could be discovered only after stock levels had dropped. By that stage, it would be difficult to identify the laundry batch in which the discrepancy occurred.
Fixed assets required physical tagging and detailed registration, while the linen already contained manufacturer-supplied RFID tags. The hotel therefore needed separate workflows without maintaining two disconnected systems. Linen also had to remain outside the fixed asset register because it is a high-volume operational item with frequent daily movement.
The asset register, linen workflow, hardware setup and staff training had to be completed before hotel operations began. The system rollout could not be delayed by the availability of the hotel’s final on-premise server, so the deployment plan needed an alternative route for early configuration and training.
Technowave deployed the web-based EasyTrack Asset Management System, combining RFID and barcode technology in one platform. The solution was licensed for up to 25,000 assets and configured with a dedicated non-asset workflow for linen tracking.
Technowave’s field team physically discovered, verified and photographed the assets before linking them to individual digital records in EasyTrack. Avery Dennison indoor RFID labels were used for general assets, while suitable on-metal RFID tags were applied to metallic equipment. The completed register allows authorised users to search, review and audit asset information from one platform.
The EPC codes from the linen’s existing RFID tags were imported directly into EasyTrack under a separate non-asset category. This allowed the hotel to use tags already embedded by the manufacturer instead of purchasing and applying additional labels. Access to the linen workflow was restricted to the designated linen team.
RFID readers with integrated antennas and a 10-inch industrial Android touchscreen were configured at the linen movement point. Every dispatch from the store to the laundry is recorded as a check-out, while every return is captured as a check-in. Each transaction receives a batch ID and timestamp, and the operator can see the quantity expected, scanned and still missing in real time.
Two Nordic ID HH83 handheld readers were provided for physical audits and proximity-based item searches. The readers guide users toward a selected RFID tag through an audible search function. An Impinj Speedway Revolution four-port fixed reader with Times-7 and Keonn antennas supported wider RFID reading requirements.
To protect the opening schedule, Technowave initially provided a temporary hosted environment for system configuration, testing and training. The solution could later be migrated to the hotel’s on-premise server once its IT infrastructure was ready.
The field team surveyed the hotel and created records for assets across the property. Each item was verified, photographed and prepared for registration in the master asset database.
Appropriate indoor or on-metal RFID labels were applied according to the asset type and surface. More than 15,000 assets were then linked to their corresponding EasyTrack records.
The EPC numbers of the manufacturer-tagged linen were imported into the non-asset module. Check-out and check-in stages were configured around the hotel’s store-to-laundry process.
Fixed readers, antennas, handheld terminals and the industrial touchscreen were installed and tested. Reader positioning and settings were adjusted to provide dependable transaction capture and minimise unwanted reads.
Technowave completed system configuration and testing, followed by dedicated user training for the hotel team. The hosted environment allowed staff to practise the workflows before final migration to the on-premise setup.
The completed implementation provided Hotel Indigo Jabal Akhdar with a dependable foundation for asset governance and day-to-day control of linen movements.
The hotel received a centralised and searchable register containing more than 15,000 tagged and photographed assets. This created an accurate starting point for future audits, transfers, maintenance records and asset updates.
Every linen dispatch and return now produces a recorded transaction with a batch ID and timestamp. The hotel can compare what was sent with what was received for each laundry cycle.
Any difference between the expected and returned quantity is displayed during check-in. Staff can investigate a shortage while the transaction is still traceable instead of discovering it during a later stock count.
RFID handheld readers can identify multiple tagged items without manual line-by-line checking. Their proximity-search function also helps the team locate misplaced assets or linen more efficiently.
The temporary hosted deployment allowed system setup, testing and staff training to continue while the hotel’s permanent server was being prepared. This reduced the risk of infrastructure readiness delaying the operational rollout.
Although the initial register covered more than 15,000 fixed assets, the EasyTrack licence supports up to 25,000 assets. The hotel therefore has capacity to register additional assets as its operations expand.
The project demonstrates how one RFID platform can support very different hotel inventory requirements when each category is given the right workflow.
Because the linen arrived with manufacturer-integrated RFID tags, Technowave could import the existing EPC codes and avoid an unnecessary retagging exercise. When RFID is applied at the source, the implementation can focus on system integration and transaction control.
Managing linen as a dedicated non-asset category kept frequent laundry transactions from affecting the hotel’s fixed asset records while retaining one system of control. This also simplified access for the employees responsible for daily linen movements.
Reliable results depended on using suitable labels, handheld readers, fixed readers, antennas and a real-time operator screen as part of one integrated process. Hardware selection, reader placement and workflow configuration were as important as the software itself.
The temporary hosted environment allowed setup and user training to proceed before the hotel’s server was available, helping the project remain aligned with the opening schedule. Separating software readiness from infrastructure readiness reduced dependency on a single go-live milestone.
