For this championship, IMG faced a unique logistical challenge: efficiently managing the allocation of complimentary drinks to HSBC Credit Card holders without compromising on service quality or fairness.

When IMG needed a reliable partner to address their challenges, they turned to Technowave for its expertise and proven track record.

The Challenge

IMG approached Technowave just two weeks before the event, seeking a comprehensive solution to manage drink allocations for HSBC Credit Card holders at the championship. The challenges were significant:

  1. Short Timeline:
    From custom software development to testing and deployment, the solution had to be ready and operational in less than 14 days.

  2. Accurate Drink Allocation:
    Each cardholder was entitled to a specific number of complimentary drinks, depending on their membership tier (e.g., Premier, Advance, Standard). Ensuring fairness and preventing over-allocation were critical. HSBC required detailed reporting—how many drinks, of what type, and of which brand, per guest

  3. Brand Alignment:
    The solution needed to align with HSBC’s premium branding, maintaining a high-quality guest experience.

  4. Operational Efficiency:
    The system had to be simple for bartenders to use, ensuring quick service and avoiding bottlenecks at the bar counters.

Technowave’s Solution

Technowave designed and delivered an RFID-based solution tailored to IMG’s requirements. The solution included:

  1. HSBC-Branded RFID Wristbands:

    • Color-Coded Design: Wristbands were produced in multiple colors, with each color representing a specific HSBC Credit Card membership tier. These were converted into RFID wristbands by attaching an Avery Dennison UHF RFID label on the backside for reliable RFID reading.

      HSBC Branding: The wristbands prominently featured the HSBC logo, maintaining brand visibility and a premium, exclusive look.

      Membership Allocation: Wristbands were distributed to attendees upon entry, ensuring the correct tier was assigned to each cardholder and linked to their RFID-enabled band.

  2. Custom RFID Software Development:

    • Technowave developed software to track the number of complimentary drinks each attendee could claim.
    • The software integrated seamlessly with the RFID wristbands, ensuring accurate drink counts based on membership tier.
    • Extensive testing ensured the software was robust and user-friendly within the tight timeline.
  3. Portable RFID Readers for Bartenders:

    • Technowave deployed Chainway C66 UHF RFID handheld readers, configured for short-range RFID reading so that only the wristband held close to the device would be detected. Bartenders simply tapped the reader to the guest’s wristband to verify the drink entitlement, ensuring nearby tags were not accidentally read. This setup prevented attendees from claiming more drinks than their allocated limit while keeping the process fast and reliable at the counter.
  4. Deployment and Staff Training:

    • The solution was deployed at the event venue with ample time for setup and troubleshooting.
    • Event staff, including bartenders, were trained on how to use the RFID system, ensuring smooth operations during the event.

Solution Architecture

The RFID Tracking App was designed to prioritize speed, accuracy, and user-friendliness, running on RFID handheld readers used by the bar staff.

Key Features:

  • Login Screen for authorized bar staff
  • Scan Wristband: Each scan instantly pulled up the guest’s card type, number of allowed drinks, and drinks already claimed
  • Pre-loaded Menus: Bartenders could select drink category and brand from dropdowns—no typing required
  • Offline Mode: Local caching ensured functionality even during network interruptions

Wristbands:

  • Three color-coded bands (e.g., red, black, silver) matched HSBC card types
  • Durable, waterproof RFID-embedded silicone
  • HSBC logo printed in alignment with brand guidelines

Event Execution

When entering the event, visitors were given an RFID wristband based on their HSBC credit card type—Gold, Platinum, Premier, etc. Each wristband was color-coded and branded with the HSBC logo to match the guest’s card tier.

Once inside, when a guest approached the bar to get a complimentary drink, the bar staff used a Chainway handheld RFID reader to tap the wristband. Immediately, the app showed:

  • How many drinks that person had already taken
  • How many complimentary drinks they were allowed
  • The drink type and brand the guest selected

This allowed HSBC to track drink consumption in real time, both by individual guest and by category and brand of beverage.

To make the process fast and avoid long queues, 10 RFID-enabled Android devices were distributed across the bar counters. All bar staff were trained two days before the event, ensuring they knew exactly how to use the app and manage guest interactions efficiently.

In addition, one technical support person was present on-site during the entire event to monitor the system, assist staff, and make sure everything was running smoothly from start to finish.

The Results​

  1. Seamless Operations:
    • The RFID solution eliminated manual tracking, reducing errors and improving the efficiency of bar service.
  2. Fair Drink Allocation:
    • Each HSBC Credit Card holder received their entitled number of complimentary drinks without any disputes or misuse.
  3. Enhanced Guest Experience:
    • The streamlined process ensured guests experienced faster service, leaving a positive impression on attendees and the event organizers.
  4. Brand Visibility and Alignment:
    • The HSBC-branded wristbands reinforced the premium image of both HSBC and the Abu Dhabi HSBC Championship.
  5. Satisfied Client:

Conclusion

At the end of the tournament, the client received a detailed consumption report showing 3,719 drinks served, with clear breakdowns by card tier, drink type, and time period.
